BEFORE THE DOORS OPEN

A shared plan for a better service.

A pre-shift briefing brings the team’s assignments, events and important service information into one place. Use this sheet to make responsibilities clear and give everyone the same starting point. Keep the main message short, invite questions and confirm anything that needs checking before service.

The sheet records your plan. It does not check staffing levels, replace an allergen reference or confirm that the team has read and understood the brief.

ALREADY BUILT INTO GLASSROTA

Your daily brief updates as you build the rota.

GlassRota has a briefing sheet built into the app. As you draft the rota, it updates live with the selected day’s team, departments, roles, shift leaders and working times. Events and the sales target are brought in too, so the information is already there when you need it.

Add the final section allocations and shift notes, then save or print the finished briefing. There is no rota to upload and no team information to enter again.

THE PRACTICAL DETAILS

A few useful answers.

What should a hospitality briefing include?

Who is leading, where people are working, expected bookings or events, relevant product updates and the service priority. Include only information the team needs for this shift.

Can I use it for a bar, café or hotel?

Yes. Name your own departments and sections, and choose the briefing sections that fit your operation.

Where are saved drafts stored?

Save draft keeps one manual copy in this browser. You can also opt into automatic device saving, or download and restore a backup. Nothing syncs between devices. Clearing browser data can remove local copies. Backups include your team and notes, so store them safely.

How do I prepare the next briefing?

Choose Prepare next briefing. Your venue and section choices stay in place. Choose explicitly whether to carry forward people, assignments or daily notes, then check them for the new service.

How do I save a briefing as a PDF?

Choose Print / Save PDF, then your browser’s Save as PDF option. For the cleanest sheet, turn off browser headers and footers.

Help improve this free tool

Uses Google Analytics to record whether imports work, printing is requested, a draft is saved or the trial link is opened. Your team names, rota files and briefing content are never included in these events. Off by default; you can change this choice here.

Turn your rota into today’s team.

Upload a rota or paste it below. Choose the day, then check what we’ve read before adding anyone.

Up to 10 MB. PDFs up to 20 pages. Excel reads the first 1,200 rows of your chosen sheet. Clear screenshots work best. Files are read on this device.

Tips for different layouts

Include the day headings when copying a weekly rota. Lists can use columns in any order with headings such as Name, Department, Date, Start and Finish. Blank or unclear details stay blank. Shift codes such as EARLY and CLOSE need checking.

For best results: Name → Department → Date → Start → Finish. Use 24-hour times. If your rota uses colours or unusual layouts, check the extracted text and correct it before reading again.

Prepare the next briefing.

Your venue, service label and section choices stay. Choose what else to carry forward and check it for the new service.

Save your current briefing first if you want to keep it. The next briefing is not saved automatically.
