This rota hours calculator adds up hours worked from shift start and finish times, deducts unpaid breaks, and calculates weekly totals for one person or a whole team. Use it for restaurant, bar, pub, hotel or other hospitality rotas, including overnight and split shifts.
How do you calculate hours worked with breaks?
Subtract the start time from the finish time, allowing for shifts that finish the next day. Then subtract unpaid break minutes. Add each shift’s paid hours to calculate the weekly total. Paid breaks remain part of paid hours.
Paid hours = shift duration − unpaid breaks
For example, a shift from 17:00 to 02:00 lasts nine hours. Subtract a 30-minute unpaid break and the result is 8 hours 30 minutes, or 8.5 decimal hours. At £15 an hour, that is £127.50 in basic wages.
When is a rota or timesheet calculator useful?
Check weekly staff hours before publishing a rota, add up timesheets, compare hours with weekly contracts, or estimate basic wages. Enter planned shifts for scheduled hours, or actual start and finish times for hours worked. You can reuse a weekly template and check where someone has less than 11 hours between shifts.
What do the totals leave out?
The calculator uses the times and breaks you enter. It does not judge whether a busy service has enough cover or the right skills. Basic wages exclude overtime premiums and employer costs. Overnight hours belong to the day the shift begins; calculations use clock times without adjusting for daylight-saving changes.

How do I calculate weekly working hours?
Shift duration is finish time minus start time, allowing an overnight finish. Paid hours deduct the unpaid break minutes you enter. Estimated basic wages multiply paid hours by each employee’s optional rate. No overtime premium, tax, employer contribution or holiday cost is added.
Can I calculate overnight and split shifts?
An earlier finish means the following day. Hours belong to the date the shift starts. Split shifts are separate entries; gaps on the same start date are shown separately from overnight rest alerts. Equal start and finish times need correcting rather than assuming a 24-hour shift.
How do I convert hours and minutes to decimal hours?
Divide the minutes by 60, then add the whole hours. For example, 8 hours 30 minutes is 8 + 30 ÷ 60 = 8.5 hours, not 8.30. The calculator shows both formats.
Are weekly rota templates saved online?
Templates are saved in this browser on this device when you choose Save template. They can include employee names, departments, pay rates, contracts and shifts. They do not sync across devices. Clearing website data removes them.
Does a gap under 11 hours mean the rota is illegal?
No automatic conclusion is made here. Adult workers are usually entitled to 11 hours’ daily rest, but arrangements and exceptions need context. This tool highlights clock-time gaps only and does not check every employment rule. Younger workers can have different rights. Read the official guidance and our linked hospitality article.
Can I trust a screenshot import straight away?
Always compare the extracted text and review table with your original. Small text, clipped columns, colours and merged cells can confuse recognition. Unsupported layouts may need editing into the template. The tool reads clear printed text; it does not understand every rota format or handwriting.
Why are some totals provisional?
Invalid shifts are excluded until corrected. Overlapping shifts are included but flagged because they may double-count time. Manual shifts start with 0 unpaid break minutes. A blank imported break deducts nothing; wages are only added up for staff with a pay rate. Weekly contract differences appear only when you confirm the full week has been entered.
